Finance/Administrative Clerk

Main Function

Under the direction of the Finance Manager, the Finance/Administrative Clerk will be responsible for data entry into Sage 300 Premium ERP and related administrative duties within the finance department. The Finance/Administrative Clerk is required to perform all duties consistent with the governance and operating policies of the institute.

Financial Duties

  • Enter payroll timesheet data into Sage 300 Premium ERP on a weekly basis
  • Enter invoicing and credit note data into the accounts receivable module
  • Enter invoicing data into the accounts payable
  • Maintain a disbursement log for outgoing payments (properly signed for when picked up or date mailed)
  • Assist with tracking Room rentals and payments
  • Prepare daily bank deposits
  • Assist with cash, debit and credit card receipts
  • Maintain a petty cash system
  • Assist with financial inquires
  • Maintain a purchase order numbering system
  • Ensure proper documentation accompanies expense claims and master card purchases
  • Assist with preparation of the audit
  • Engage in appropriate training to carryout duties in the absence of the Finance Manager (during annual or short term leave)
  • Other duties as may be required and assigned by the Finance Manager
  • Administrative Duties
  • Implement a contract management system (contract number, expiration, payment schedule, signatures, and filing)
  • Provide administrative support such as photocopying, filing, and file maintenance
  • Order office supplies
  • Assist with collections of accounts receivable
  • Be the contact point for information technology needs; schedule maintenance work with an information technology service vendor as needed
  • Other duties as may be required and assigned by the Finance Manager
  • Education and Qualifications
  • Post-Secondary Diploma in business, accounting or related field
  • Transcript showing successful completion of Accounting/Finance Courses or a willingness to enroll in evening classes
  • Experience in Sage 300 Premium ERP (Version 2012) is considered an asset
  • A suitable combination of education and experience may be considered
  • Must have a driver’s license
  • Must be able to provide a police check

Criteria

Eligible candidates must be First Nations or Inuit youth between the ages of 15 and 30 residing on reserve and must be unemployed or underemployed.
